StephMyLife Ltd Tours Cancellation Policy

At StephMyLife Ltd, we know that travel plans don’t always go exactly as expected. Our aim is to be as fair and transparent as possible while also working within the commitments we have with our local partners. The information below explains what happens if you need to cancel or change your booking, and what occurs if we ever need to cancel a tour. By booking a tour with us, you agree to the terms outlined below.

1. Guest Cancellation

Because each of our tours is operated in partnership with different local suppliers and ground operators, cancellation terms vary from tour to tour. For this reason, it is very important that all guests carefully review the cancellation policy shown on the specific tour page before booking.
Please note:

  • The cancellation terms applicable to your booking are those published on the tour page at the time your deposit is paid.
  • These terms will also be included in your booking confirmation.
  • Once your deposit is paid, the tour-specific cancellation policy becomes binding.

If anything is unclear, we warmly encourage you to contact us before booking – we are always happy to help clarify.

2. Deposits

All deposits are non-refundable. Deposits secure your place on the tour and cover planning and supplier commitments made on your behalf.

3. Travel Insurance (Mandatory)

Comprehensive travel insurance is required for all guests and should be purchased as soon as you book.

Your policy should include cover for:

  • Trip cancellation and interruption
  • Flight delays or cancellations
  • Medical expenses and emergency evacuation
  • Force majeure events where available

StephMyLife Ltd cannot accept responsibility for losses that would normally be covered by travel insurance. Any eligible claims should be made directly with your insurer. However we will always work with you to explore alternatives where reasonably possible.

4. Flight Disruptions or Airline Changes

StephMyLife Ltd is not responsible for airline-related issues, including:

  • Flight schedule changes
  • Flight cancellations
  • Missed connections
  • Airspace closures
  • Airline or border authority decisions

If flight disruption prevents you from joining the tour, the applicable tour cancellation terms will apply.

We strongly recommend contacting your airline first for rebooking options and then your travel insurer if needed. Where operationally possible, we will always try to support late arrivals, but this cannot be guaranteed and refunds cannot be provided for missed portions of the tour.

5. No-Show or Late Arrival

If you:

  • Do not arrive on the tour start date
  • Miss the group departure
  • Leave the tour early for personal reasons

Unused services are non-refundable.

6. Changes Requested by the Guest

Requests to transfer to another tour or departure date:

  • Are subject to availability
  • May incur administrative fees or price differences
  • May be treated as a cancellation and rebooking if made close to departure

While we always try to be helpful where possible, transfers are not guaranteed.

7. If StephMyLife Ltd Cancels the Tour

In the unlikely event that StephMyLife Ltd must cancel a tour (for example, if minimum numbers are not met or due to operational necessity), guests will be offered:

  • A full refund of monies paid to StephMyLife Ltd, or
  • The option to transfer to another departure date (subject to availability)

Please note that we cannot reimburse costs outside of your tour booking (such as flights, visas, insurance, or personal expenses), which is why comprehensive travel insurance is essential.

8. Force Majeure (Events Outside Our Control)

StephMyLife Ltd is not liable for cancellations, changes, delays, or losses caused by events beyond our reasonable control, including but not limited to:

  • Natural disasters
  • Severe weather
  • War or threat of war
  • Terrorism or security incidents
  • Civil unrest
  • Epidemics or pandemics
  • Government actions or border closures
  • Airspace or aviation restrictions

Where force majeure affects your ability to travel, the cancellation terms for your specific tour will apply and guests should seek reimbursement through their travel insurance.

If force majeure requires StephMyLife Ltd to cancel a tour, Section 7 above will apply.

9. Entry Requirements and Documentation

Guests are fully responsible for ensuring they meet all travel requirements, including:

  • Valid passport
  • Required visas or entry permissions
  • Vaccinations or health requirements
  • Compliance with airline and border regulations
  • If you are denied boarding or entry, this will be treated as a guest cancellation under the applicable tour policy.

10. Refund Processing

Where refunds are due:

  • They will be returned to the original payment method where possible
  • Please allow 24–48 hours for processing
  • Any bank or currency fees may be deducted where applicable

11. Exceptional Circumstances

We genuinely understand that unexpected situations can arise. While we must operate within our stated policies and supplier commitments, we will always review serious or compassionate cases carefully and thoughtfully at our sole discretion.
